Overview

The Kidney Nutrition Institute (KNI) was facing challenges in managing their project tasks, email ticketing system, and scheduling events. As their operations grew, they required a more streamlined process for handling tasks and emails across different platforms. We successfully migrated their existing data, integrated their email system with project management tools, and set up automated workflows to improve efficiency.

Key Challenges:

Phase 1: Data Migration from Monday.com to ClickUp

KNI had been using Monday.com to manage their boards, tasks, and project workflows. Our first objective was to migrate all their data—including fields, tasks, subtasks, files, and automation workflows—to ClickUp, which they had selected as their new project management tool.

Actions Taken:

  • Migrated all project boards from Monday.com to ClickUp.
  • Ensured all fields, tasks, and subtasks were successfully transferred.
  • Integrated existing files and associated automations into the new ClickUp structure.

Outcome:
KNI’s project data was successfully migrated to ClickUp without any data loss, providing a smoother and more centralized project management experience.

Phase 2: Email Ticketing System Implementation

KNI needed a streamlined system to categorize and manage their incoming emails based on specific criteria. Previously, they were managing emails through Freshdesk, but wanted a more cohesive system integrated with ClickUp.

Rerquirement:

Automate the categorization of emails and forward them to the relevant ClickUp boards based on the content of the emails.

Solution:

I built an automated email ticketing system using a combination of Gmail, Zapier, ClickUp, and Thinkific. The integration categorized emails and sent them to appropriate ClickUp boards, ensuring efficient task management.

Phase 3: Vimeo Video Upload Automation

KNI wanted to automate the process of managing their video uploads to Vimeo. Whenever a new video was added, they wanted the video information to be captured in ClickUp and an email notification sent to the relevant person.

Solution:

  • Created an integration that automatically captured new video uploads on Vimeo and sent the details to a specific ClickUp board.
  • An email notification was set up to alert the relevant team member about the video upload.

Outcome:

The process of managing video uploads became seamless, with automatic task creation and email notifications, improving team coordination.

Phase 4: Calendly and ClickUp Integration

KNI also required an integration between Calendly and ClickUp, where every new event booked via Calendly would generate a task in ClickUp, ensuring all meeting details were tracked.

Solution:

  • Integrated Calendly with ClickUp to automatically create tasks for each booked event.
  • Mapped all relevant fields from Calendly (e.g., meeting details, client information) into ClickUp tasks to ensure nothing was missed.

Outcome:

This integration allowed the KNI team to efficiently manage their meeting schedules, ensuring all event details were automatically documented in ClickUp.
By integrating multiple platforms and automating several processes, we were able to improve KNI’s operational efficiency. Their project management became more streamlined, and manual processes like email handling, video uploads, and event scheduling were automated, saving the team time and reducing the risk of human error.
